Singletree Accountants Ltd ("Singletree", "we", "us") is the data controller for personal information processed through this website and in the course of providing our services. We are registered in England & Wales and registered with the Information Commissioner's Office (ICO).

Depending on how you interact with us, we may process:

• Identity and contact details (name, business, email, phone, address).
• Engagement and transaction information necessary to deliver accounting, tax and advisory services.
• Technical data such as IP address, device, browser and pages viewed via cookies and analytics.
• Communications you send us by email, web form or chat, including AI-assisted enquiries.

AI tool submissions. Where you use our AI Financial Analyzer, we process the text and file name you submit. Where you use our website chat, we process the text of the messages you send. See "AI-assisted tools and financial analysis" below for how each tool handles this information. We also record the pseudonymous rate-limiting events described in that section.

We do not knowingly collect data from children, and we do not ask for or intend to collect special-category data through this site. You must not enter special-category data — such as information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data used for identification, health information, or information concerning a person's sex life or sexual orientation — into our AI Financial Analyzer or website chat.

• To provide our services under our engagement letter (contract).
• To meet legal obligations, including UK anti-money laundering, tax and accounting law.
• For our legitimate interests in running, securing and improving the practice.
• With your consent, for optional marketing — you can opt out at any time.

AI Financial Analyzer

Our AI Financial Analyzer lets you upload or paste financial information for automated commentary. Accepted file formats are currently .csv, .txt and .tsv, with a maximum file size of 5 MB, and only the first 80,000 characters are processed. A selected file is read in your browser. The extracted text and file name are then sent to our server and passed through the Lovable AI Gateway to Google Gemini, which generates the analysis returned to you.

Singletree does not intentionally store the submitted content, the file name or the AI-generated response in its own database. Provider-side retention, logging, processing location and model-training treatment are governed by the relevant provider arrangements and cannot be fully verified from the application itself.

You must not submit confidential client data, personal data, special-category data or identifiable financial information through this public tool. Use only anonymised or synthetic information for testing. Real client records must be sent through an approved engagement channel.

AI website chat

Our website chat assistant provides automated responses to general finance and service-related questions. You enter only the text of your message. The chat does not ask for your name, email address or account identifier, and it does not create a login or profile.

Your message and the preceding messages in the same on-page conversation are transmitted through the Lovable AI Gateway to Google Gemini to generate a reply. Singletree does not currently store chat conversations or messages in its own database. The on-page conversation remains in browser memory during the visit and is discarded when the page is closed or reloaded.

Provider-side retention and logging are governed by the relevant provider arrangements. Do not include confidential client information, personal data, special-category data, sensitive financial records or other confidential information in the chat. Chat responses are automated and general in nature and must not be treated as professional advice without review by a member of our team.

Rate limiting and service security

To protect the availability of the AI Financial Analyzer, prevent abuse and control AI-processing costs, we apply usage limits. For this purpose, the IP address supplied by Cloudflare is converted into a one-way pseudonymous identifier using a secret cryptographic key. Singletree does not store the raw IP address for this purpose.

Each rate-limit event contains only the endpoint used, the pseudonymous identifier, a timestamp and a generated record number. It does not contain submitted financial information, chat content, an AI response, contact information or account details. These events are removed automatically after approximately 25 hours.

We rely on our legitimate interests in maintaining the security, availability and cost control of the service for this limited processing.

We share data only where necessary: HMRC, Companies House and other regulators; software providers we use to deliver services (for example Xero, Capium, TaxDome, Lovable Cloud); professional advisers; and auditors of our own practice.

We use third-party service providers to operate our website and deliver our services, including Lovable and Lovable Cloud, Supabase, Cloudflare, Google Gemini accessed through the Lovable AI Gateway, Calendly, and the accounting software providers identified above. Their handling of personal information is subject to the applicable contractual arrangements and privacy terms.

Some of our providers may process information outside the United Kingdom. Where UK data-protection rules on international transfers apply, we are required to ensure that an appropriate lawful transfer mechanism is available. The specific arrangements applying to the Lovable AI Gateway and Google Gemini are currently under review. While that review is incomplete, you must not submit personal, confidential or identifiable client information through our public AI tools.

We keep client records for at least seven years to satisfy HMRC, Companies House and AML record-keeping rules, and longer where a longer period is justified. Marketing data is held until you opt out.

You have the right to access, correct, erase, restrict or object to processing of your data, to data portability, and to withdraw consent. To exercise any of these, email info@singletreeaccountants.com. You can also complain to the ICO at ico.org.uk.

We use a small number of strictly necessary cookies to operate and secure the website. We do not operate our own analytics or advertising technologies on this site. Our booking page uses Calendly, which is not loaded until you choose to load it. You can control cookies through your browser settings. Please see our Cookie Policy for full details.
